You can upload an audio recording of a session and have the Saltroad Assistant transcribe it and draft your clinical notes for you. You then review, edit and finalise them.
You record the session yourself (on your phone or another device), then upload that file to the relevant clinical note in Saltroad. Recording directly within Saltroad isn't available yet.
This is a beta feature which we are rolling out gradually, so it may not be available on your account yet.
Getting Consent
You must obtain the customer's consent before you record a session and before you upload any audio to Saltroad. When you upload, Saltroad shows a consent step which you cannot skip.
There are two separate consents:
Recording (required): you confirm "I confirm that I obtained their consent to record and process this session." Without this, you cannot continue.
AI training (optional): the customer can also choose to let the recording be used to improve Saltroad's AI models. This is entirely optional and has no effect on the care your customer receives, or on the consent to record and process the audio. They can change their mind at any time, although recordings already consented cannot be removed from training.
Please make sure the customer understands what they are agreeing to before you tick either box.
It is worth explaining that a recording helps you write more accurate notes and spend less time on admin, which means more of your attention on their child.
Uploading Audio
You need to create the clinical note first, then attach the audio to it:
Create the clinical note for the relevant session, as covered in Clinical Notes.
Open the note and choose Upload audio.
Complete the consent step, then select your audio file.
Once the file is uploaded, the Saltroad Assistant transcribes it and drafts your note.
Note Formats
By default, the Assistant drafts your main Session Notes, which are designed to be matter-of-fact session notes, outlining exactly what happened in the session.
From the same session you can then choose to generate any of the following, using the built-in note templates:
SOAP Note: SOAP-format clinical note for healthcare records.
Parent Summary: a plain-language summary for a parent or carer.
Teacher Summary: a summary for teachers or teaching assistants.
Each of these can be edited and tweaked as you need, and can be downloaded as a PDF, or copied out to paste elsewhere.
Always review generated content for accuracy before you send, download or share it.
AI-assisted notes are new and still evolving, and the clinical record remains your responsibility. The same HCPC record-keeping standards apply, as covered in Clinical Notes.
How Recordings Are Stored
Uploaded recordings are encrypted and stored on UK servers.
They are kept for 12 months and then automatically deleted, unless a recording needs to be retained for an active complaint, dispute or regulatory matter.
